Planning staff training for schools, Head Start, and nonprofits

A useful training brief names who needs to learn what, what they should be able to do afterward, and how the organization will check completion and application.

Define the audience and task

Separate new staff from experienced staff where their needs differ. Identify role-specific tasks, prior knowledge, language needs, and access constraints. Describe a real situation the training should prepare someone to handle, rather than starting with a long list of topics.

Make the learning goal observable

“Understand the process” is difficult to assess. A clearer goal might be “identify the correct next step in a sample scenario and explain where to find the current procedure.” This example is illustrative; goals should reflect the actual work and approved policies.

Prepare the content source packet

  • Current organizational procedures and approved source materials.
  • The content owner and subject-matter reviewer.
  • Topics in scope and topics requiring separate instruction.
  • Examples that can be shared without confidential information.
  • Any required wording, assessments, or completion documentation.
  • The deadline and review milestones.

Confirm delivery and accessibility

Discuss live versus self-paced delivery, device access, captions or transcripts, language support, and how staff will ask questions. Confirm requested formats and accommodations in scope. Do not assume that purchasing training automatically includes an LMS integration, translation, or certification.

Plan review and maintenance

Name who approves content before release and who owns updates when policies change. Record the version and effective date of source materials. A course can become outdated even if staff continue to complete it successfully.
